Using Quote Templates
Templates let you create quotes in seconds by pre-filling line items for common services.
What Are Templates?
A template is a saved set of line items that you use frequently. Instead of adding items one by one, select a template and all the items are added instantly.
Example templates:
- "Standard Lawn Mow" - Mowing, edging, blowing
- "Pool Service Visit" - Chemical test, clean, balance
- "Garden Maintenance" - Weeding, pruning, mulching
Creating a Template
From Scratch
- Go to Settings → Templates
- Click + New Template
- Enter a template name
- Add line items (same as creating a quote)
- Click Save Template
From an Existing Quote
- Open a quote you want to save as a template
- Click More → Save as Template
- Enter a template name
- Click Save
Best Practice
Create templates from quotes you've already sent - they're refined from real use.
Using a Template
When creating a new quote:
- Click + New Quote
- Select the client
- Click Use Template
- Select the template to apply
- All line items are added to the quote
Modifying After Applying
Template items aren't locked - you can:
- Edit descriptions or prices
- Remove items you don't need
- Add additional items
- Change quantities
Managing Templates
Editing Templates
- Go to Settings → Templates
- Find the template
- Click Edit
- Make changes
- Click Save
Note
Editing a template doesn't affect quotes already created from it.
Deleting Templates
- Go to Settings → Templates
- Find the template
- Click Delete
- Confirm deletion
Organising Templates
Use clear, consistent naming:
- ✅ "Lawn - Standard Mow"
- ✅ "Lawn - Large Property"
- ✅ "Pool - Weekly Service"
- ❌ "Template 1"
- ❌ "New quote thing"
Template Tips
- Start simple - Create templates for your 3-5 most common jobs first
- Include variations - Have templates for different property sizes
- Review regularly - Update pricing when your rates change
- Keep descriptions - Include what's involved so clients understand the value
Multiple Templates on One Quote
You can apply multiple templates to a single quote:
- Apply the first template
- Click Use Template again
- Select another template
- New items are added to existing items
This is useful for combination jobs (e.g., "Lawn Mow" + "Garden Tidy").
